We are the data controller for the personal information collected through this website. If you have any questions about this policy or how we use your information, please contact us at info@meetstus.co.uk.
The information we collect
When you send an enquiry through our website, we collect the details you choose to give us. These include:
-
your name, email address and phone number
-
your event date, location or venue, and number of guests
-
the type of event and any details you share about it
-
dietary requirements for you or your guests
We also collect limited technical information when you visit the website, such as your browser type, device and the pages you view. This is collected through cookies and similar technologies. Please see our Cookie Policy for details.
Dietary and allergy information
Dietary requirements can sometimes reveal information about health, such as allergies or intolerances, or about religious beliefs. This is treated as special category data under UK data protection law. We only collect it so that we can plan a safe and suitable menu for your event, and we only use it for that purpose. By providing it, you give your explicit consent for us to use it in this way. You can withdraw that consent at any time by contacting us, but we may then be unable to cater safely for your event.
How we use your information
We use your information to:
-
respond to your enquiry and send you menu ideas and a quote
-
plan, prepare and deliver catering for your event
-
communicate with you before, during and after your event
-
keep records for accounting, tax and legal purposes
-
improve our website and understand how visitors use it
We will not send you marketing emails unless you have asked us to.
Our lawful basis
We rely on the following lawful bases under the UK GDPR:
-
Contract: to respond to your enquiry and deliver the services you book with us
-
Legitimate interests: to run and improve our business and website, where this does not override your rights
-
Legal obligation: to keep financial records as required by law
-
Explicit consent: for dietary and allergy information, as explained above
Who we share your information with
We never sell your personal information. We only share it where necessary with trusted service providers who help us run our business, including:
-
Wix.com: our website platform, which hosts this site and processes enquiry form submissions
-
Our email provider: for communicating with you
-
Staff or partners working at your event: only the details they need to deliver it, such as dietary requirements
-
Venues: where your event takes place at a partner venue and the details are needed to arrange it
-
Our accountant: for financial record-keeping
Some of these providers may store data outside the UK. Where this happens, appropriate safeguards are in place, such as UK adequacy regulations or standard contractual clauses.
How long we keep your information
We keep enquiry details for 12 months if you do not go on to book. If you book with us, we keep your booking records for up to [six years] after your event to meet accounting and tax requirements. We delete dietary and allergy information [within three months] of your event, unless you ask us to keep it for future bookings.
Your rights
Under UK data protection law, you have the right to:
-
access the personal information we hold about you
-
ask us to correct inaccurate information
-
ask us to delete your information
-
object to or restrict how we use your information
-
ask us to transfer your information to another organisation
-
withdraw your consent at any time, where we rely on consent
To exercise any of these rights, email info@meetstus.co.uk. We will respond within one month.
Keeping your information secure
We take appropriate measures to keep your personal information secure and to prevent unauthorised access, loss or misuse.
